Hi Erin!
These are super reasonable questions.
1. Depending on the *reason* a title is swapped, it can be swapped out
later on. I typically swap titles in that a professor requests for a course
and make a note to *not *swap it. However, we have had a couple of
instances where we've brought a new title into the mix for a professor and
they've given the green light that I can swap it back out after the Fall
semester ends, so then I place it on the "Chopping Block" as needed.
Typically though, I'll look at titles we've had in our Flex package *a lot
longer *and look at the usage for those — and of course, there are titles
with the sameeee exact usage, so I'll start to think about the genre
distribution.
2. I don't necessarily remove the titles that are swapped, but I just
deactivate them and add a note in the Internal Description saying "Swank
Flex Collection FY26 — swapped out with Pinnochio - EB 09/12/2025" for me
to reference. I definitely use the coverage and availability dates. We
don't currently have a Public Note for our Swank films, but I have begun
adding public notes for some of our other resource types (like EBAs) and
I'm considering using the same language for our Swank films.
Here's a Primo record for an EBA book we have and the public note we're
using — I'm considering adding the "Using this for your courses? Fill out
the Electronic Course Material Request Form or contact your subject
librarian!" to our Swank films to encourage faculty to let us know if
they're using something for their class (if I'm not already made aware).
It's not much, but it's the best we can do... and thankfully, it's super
easy to swap something back in if a professor contacts us that they were
using something :)
