Hi,

We got CORAL ERM (EResources Manager) this past year, supported and hosted by ByWater. CORAL works well for managing admin logins. It's open source so you can use it for free if you can install/host it locally.

If you were to go to this route, be sure to use 3.0.1. There's a bug in 3.0 where you can't edit or delete account logins on resource records. (In 3.0 the bug doesn't exist for account logins associated with organization records).

Prior to this, we used Innovative's Millennium ERM module, it also worked well for tracking admin logins. Other ERMs are available from vendors. The advantage of an ERM is you can note down all kinds of info: vendor contacts, background/historical info, admin logins, license terms, payments over the years. Some ERMs allow you to upload attachments and/or usage statistics. This theoretically brings all your information in one place that you and others can access, easily and efficiently. CORAL is password protected and accounts can be added that have various levels of permissions, for example you could set it up so that certain staff have access to view records but not change them. This is useful for scenarios like when you're out of the office and some sort of emergency occurs where another librarian has to contact a vendor quickly - instead of that being buried in your email, it's in the ERM for others to access.

I should say, for logins that are single user accounts for magazine/newspaper subscriptions and whatnot, those are handled differently. Those logins are put in a few different places for the reference desk. We have a lot of part-time "on call" librarians staffing the reference desk and it's easier to do things the old way rather than making them log into CORAL.

How do you manage admin site log ins?

I use Excel, which is kind of crude, but simple. I include the vendor or publisher, title (if single or just a few journals from one publisher), admin URL, username, password and any note for miscellaneous information.

I'm just looking for other, maybe better, ideas. Several people here need to access this information if I or the Periodicals Assistant are not here, so I don't want to make it too confusing for others outside of e-resources.
