Position Summary:

The mission of the Delivery, Description and Acquisitions (DDA) department is the acquisition, discovery and delivery of information needed to support the teaching, research and learning needs of our primary customers.



This position collaborates with another Library Information Associate, Sr. to lead and supervise interlibrary loan, local document delivery and video streaming. This includes supervision of student workers; planning, coordinating and prioritizing daily work to meet defined quality standards; troubleshooting software and hardware; training staff and student workers; developing and updating training documentation; and communicating with DDA and library staff. The areas of responsibility include physical item processing for interlibrary loan lending and borrowing, scanning for interlibrary loan lending and UA owned material (document delivery); video streaming production and customer service.



WORK SCHEDULE: Mon.-Fri., 7 a.m. - 4 p.m. Staff may be required to change work schedules to occasionally fill in behind evening and weekend staff to meet the needs of library customers.

Duties & Responsibilities:

1.       Co-Lead and Supervision of Interlibrary Loan and Video Streaming:

*         Co-Lead Responsibilities:

o   Performs high level problem solving and decision making in interlibrary loan, document delivery and video streaming production related to processing, equipment and student employee supervision.

o   Ensures accurate data is collected, as defined by the department.  Analyzes and reports data monthly.

o   Monitors student wages budget, including tracking wages spent, and projecting future budgetary needs.

o   Leads dialogues, and initiates meetings with DDA and other library staff regarding policies, changes and new services.

o   Keeps up to date with current trends and technology by attending relevant conferences, and reviews and responds to relevant listservs.


*         Supervisory Responsibilities:

o   Supervises 7-10 student employees, including enforcing student expectations, time tracking and reporting, coaching and mentoring.

o   Prioritizes and adjusts daily tasks to meet defined quality standards.

o   Develops and updates training documentation, and coordinates training for staff and student employees.

o   Assesses work competency levels for staff and student employees, communicates assessment outcomes, and establishes performance improvement plans as necessary.


*         Technology Responsibilities:

o   Utilizes a variety of systems to support interlibrary loan, document delivery and video streaming, for example, ILLiad (interlibrary loan management software) and D2L (campus course management systems).

o   Troubleshoots complex hardware and software equipment problems (scanning and video digitizing equipment), and communicates problems with the library technology department for resolution.


2.       Customer Service:

o   Responds to customer inquiries, and provides reference assistance applicable to DDA services.

o   Educates customers to be self-sufficient using DDA services, including submitting requests, renewing material, and copying video content in Panopto from one D2L course to another.

Minimum Qualifications:

*         Bachelor's degree AND three years progressively responsible library experience; OR seven years progressively responsible library, information center or related work experience; OR, any equivalent combination of experience, training and/or education approved by Human Resources.

*         Demonstrated leadership skills, including evidence of excellent initiative, organizational and time management skills; evidence of the use of good judgment and solid analytical and problem-solving skills, with ability to work autonomously with minimal supervision.

*         Demonstrated ability to hire, train, coach, mentor and evaluate the work performance of student workers. Includes the ability to create effective training documentation, deliver training, and assess learning outcomes.

*         Demonstrated skills in troubleshooting hardware and software, and the ability to acquire and apply new technology skills.

*         Evidence of excellent written and verbal communication skills, including interpersonal skills in developing and maintaining good working relationships.
Preferred Qualifications:


*         Demonstrated ability to collaborate, prioritize work, and solve problems. This includes flexibility, being proactive, and following through on work assignments.

*         Demonstrated customer service skills, including the ability to work with diverse people and serve a diverse population. Takes a proactive approach; coordinates with peers in order to effectively meet customer need; and initiates effective interventions that result in customer satisfaction.

*         Demonstrated experience with interlibrary loan and/or document delivery and its management systems (for example: ILLiad and OCLC).

*         Demonstrated use of spreadsheet or database software (Microsoft Excel or Access), including formulas for budgeting and data analysis.

*         Evidence of understanding the research process and various types of reference sources (e.g. library catalog, indexes and search engines).
