[Eril-l] Kanopy renewal license terms/processes

Hi all -

I just want to mention the "SmartPDA" option from Kanopy, for those not familiar with it.  It wouldn't be right for everyone, but you may want to consider it.

We started on the original PDA and quickly had run-away costs so jumped at "SmartPDA" when offered.  We are a small college and library, and don't have time for lots of mediation and keeping track of expiring licenses, and we were hesitant to drop Kanopy all together.  We were assigned a terrific rep (a former librarian) who has helped us curate a PDA pool (done by provider, not by title).  She also de-dupes our Kanopy PDA pool against subscription packages we have (Films on Demand, AVON, Docuseek) and against DVDs we own (we send a list periodically).   We can add individual titles into the PDA pool that had been excluded.  We do this if we get a specific faculty request for which Kanopy makes sense as a vendor.  After a license expires, it just goes back in the PDA pool in case it's wanted again, I don't have to guess or ask faculty (if not used, no charge is incurred).   We get customized reports to aid in decisions on tweaking our setup.  We've been on SmartPDA for around 18 months.  We are saving money over our previous wide-open PDA, and we are not spending a lot of staff time on managing Kanopy titles.

We didn't go with KBASE because a usage report provided us by Kanopy showed it would have met only 16% of what our population watched in prior years, so that wouldn't be cost effective for us.

I won’t go into renewing Kanopy processing at Cornell as others already described more or less what we do as well.

Example is the title: Exterminate All the Brutes  There is a $300 price difference Kanopy vs. Films Media Group in that Part I-IV set.

Hi Laura,

We are also an institution like yours. We’ve changed models with Kanopy over the years, and now have KBASE, but many of the films they want are still not part of it, so we license individually also.

When the request comes to me (and I basically do all the parts of the process), I typically find out what licenses are available and ask the faculty what license is most appropriate (i.e. is this a one-off, an every-other year, or frequent use title) and order the longest one available to reduce costs over time. If it’s visiting or adjunct or other temporary faculty, I’ll generally choose the one-year license. If a student requests, I ask the professor of the class. I might order a license upon a student request if it’s integral to their Senior Individualized Project.



When the licenses expiring reports come up, I refer to my running spreadsheet of video requests and ask the faculty about the renewal. Then I renew or lapse as appropriate.

Hello!



We are reviewing our workflows related to Kanopy renewals, and I'm very interested in what processes work well for others.



For background: We are a small, undergraduate-only institution that uses mediated Kanopy requesting. Kanopy films requested by faculty and students (for course use) are licensed for 1 year upon initial request. Each month, I send notices to faculty whose requested films will expire soon, asking if they need us to renew the license for the film. We have the option to renew with a 1-year or 3-year license, and for some films, a perpetual license.



For those who also use mediated Kanopy, I'm wondering:

- Do you provide license options for film renewals?

- What criteria do you use to determine if you'll renew a film with a 1-year, 3-year, or perpetual license?

- If you do not use an established set of criteria, how is the determination made, and who makes it?

- What workflows do you use for the renewal process? (Ex. Have either technical services or liaison librarians reach out to faculty, keep a list of expiring titles on a libguide, etc.)
