Hi Molly,

I trialed the Teams version which I believe provides the most features in terms of security and sharing however I am only sharing one folder with one other colleague at this time.

I contacted support and they steered me toward the Families version.  You can still create a folder to share out and invite other users into your “family”.  One of the features I liked about Teams was you could link your personal account in the same Vault.  Families does not allow this feature so I’m currently using one browser for personal and the other for all work related functions.  I manage the initial master password account and invitees create their own work accounts.

Hope this helps, Lindsey’s idea was perfect for us as we now can keep notes, passwords, usernames on over 70 sites without revising a spreadsheet constantly.

I’m reviving a older thread, as we’ve been discussing how we manage our logins now that we have all of our e-resources staff working remotely for the immediate future. From scanning the posts from November, several libraries recommended LastPass, either the free version or a paid version. (Lindsey Lowry, thanks for mentioning your article! It was quite helpful.)

For those of you who are using LastPass to manage your admin logins and passwords for vendor sites, can you speak to the value of the enterprise version versus the free version?

  1.  If you’re using the free version with a single master login, how to you manage that? Would it work for 6 users?
  2.  What do you get from the enterprise version that you don’t from the free?

I’m trying to assess if we could get by with the free version.

Are there any other free tools that people like? We’d like to avoid just using Excel or Word, if possible.

I just had a case study published in the Journal of Electronic Resources Librarianship about using LastPass to help us gather usage data with our annual reports. LastPass is highly recommended from me. We have the enterprise version and dual authentication for security.

I used to do what you are doing, and I still maintain a list of resources in a spreadsheet, but our University has made a big effort through our campus IT to ensure that usernames and password documents are kept in secure spaces.

It was recommended to me by one of our IT staff to use the free version of LastPass. I had experience with this on a personal level already, but I am so happy that I switched to using it for work! You only have one username and password to remember, and you can set it up to autofill when you click on a URL or go to a site and click on login. It will let you update information on the spot if you have to change your password down the road.

As the harvester of all of our electronic usage statistics, I have way more logins than I could ever remember, and this does just the trick. Oh, and you can add notes to the entry for a resource also!

How do you manage admin site log ins?

I use Excel, which is kind of crude, but simple. I include the vendor or publisher, title (if single or just a few journals from one publisher), admin URL, username, password and any note for miscellaneous information.

I'm just looking for other, maybe better, ideas. Several people here need to access this information if I or the Periodicals Assistant are not here, so I don't want to make it too confusing for others outside of e-resources.
