The incumbent provides administrative services for the division and branch, special projects, travel documentation, budget coordination/tracking, agreements, purchasing/procurement of supplies and equipment, timekeeping and human resources administration.  We are seeking candidates with experience in maintaining detailed records or files for an office environment; coordinating all aspects of travel for staff or supervisors; ensuring compliance with regulations for all program administrative procedures; and preparing or tracking time and attendance records.

Major Duties

  *   Prepare travel requests and vouchers for foreign and domestic travel.
  *   Schedule conferences and meetings, including arranging logistics, preparing agendas, and notifying participants.
  *   Prepare, maintain, and transmit Time and Attendance reports using automated agency program; and trains backup timekeeper to serve during incumbent's absence.
  *   Responsible for the administrative oversight of various business processes, which may include processing financial, procurement, agreements, property, personnel, and other administrative instruments for the management unit.
  *   Provide training and advisory services to the Division and Branch Chiefs, professional staff and nonprofessional staff in all program administrative procedures ensuring compliance with regulations.
  *   Use an electronic calendar, database or spreadsheet software to document employee leave schedules; transmits and receives documents and messages electronically
  *   Prepare graphics, photos/slides, creates tables and graphs based on statistical data for professional staff for use in reports and presentations.

Travel is not expected for these positions.
