1. How do you save the information of cancelled subscriptions? In a spreadsheet or in a different format?
a. Excel and Access
2. What type of information do you keep for each cancelled subscription? Cost? Year subscription was cancelled? Other types of information?
When I worked in a large health sciences research organization, we kept the cancellations in an excel file for each year and then downloaded to Access every year.
Excel file contained
Journal Title
Publisher
ISSN (Print and Electronic)
Cost
Use
Cost/Use
Years subscribed
Perpetual Access Period (additional column if there was a break in service)
Core Subject Association (Y/N) – track the percentage of cuts in each core subject

Hello collective wisdom,
I'm trying to figure out the best way to track all of the cancelled subscriptions outside of an ERM. Currently, I have all of the subscriptions in Serials Solutions, both active and cancelled. However, we've cancelled a fair number of subscriptions due to budget cutbacks and as a result, Serials Solutions is becoming cluttered with cancelled subscriptions alongside with the active subscriptions.
I'd like to extract all of the cancelled subscriptions from Serials Solutions and save them somehow, so the Library can refer back to the cancelled subscriptions and see why this particular subscription was cancelled and when (trying to avoid institutional memory, which is not so reliable).
I'm curious about the following:
1. How do you save the information of cancelled subscriptions? In a spreadsheet or in a different format?
2. What type of information do you keep for each cancelled subscription? Cost? Year subscription was cancelled? Other types of information?
Any additional information will be appreciated.
