We use the LibGuides database list
too. If the "helpful information" is useful for all users, I will
put it in the description. We have a wiki page for reference
providers that has some further information. Other than that, we
haven't seen much need for a robust system of internal notes.

However, I wonder if this might work for you with LibGuides:

Create a private LibGuide (share the URL with whoever needs it)
and populate it with the Database Assets you create for the public
database list. All of the content except the description will be
automatically pulled from the main asset, so you never need to
maintain it in the second location. However, you can override
the custom description field with as much detail as you
need. Basically, this allows you to maintain both a public and a
private A-Z list with the same set of assets.
We use LibGuides Database AtoZ, but I don't know of any way
to add that information and keeping it out of the public's
immediate eye without the librarian logging into LibApps and
viewing an internal note that you can add to each database.
There may be something you can do with some extra coding,
but we haven't implemented anything like that.
