Job Title: SCELC Database and eBooks Manager
Status: Full-Time
Supervisor: Chief Operating Officer, SCELC
Job Summary
This is a high-volume, community-engaged position facilitating electronic
database and eBooks acquisitions for libraries. SCELC’s Database and eBooks
Manager works closely with the SCELC Business Services (Biz Serv) Team to
develop and maintain productive relationships with libraries and vendors,
contribute to workflow and system improvements, and engage in the SCELC
community and broader consortial community.
Primary Responsibilities in supporting SCELC’s core strategic initiative of
building collections and sharing resources across SCELC libraries:
E-Resource Acquisitions
1.
Manages assigned portfolio of 60+ e-resources vendors to provide
libraries with information on resources and acquisition options.
2.
Processes price quote, order, and cancellation requests from libraries.
3.
Maintains renewals for library e-resource subscriptions, including
tracking term dates, negotiating renewal pricing, and collaborating with
Biz Serv team members to oversee SCELC’s annual Master Renewal period.
4.
Ensures price information is up-to-date by updating price models in
SCELC’s ConsortiaManager subscription system.
5.
Resolves access issues for e-resource acquisitions licensed through
SCELC.
6.
Processes vendor invoices for payment. Works with vendors to resolve
multiple types of invoice discrepancies.
7.
In cooperation with vendors, creates and maintains product information.
Workflow Management
1.
Works closely with the Chief Operating Officer in managing SCELC’s
primary business and subscription system (ConsortiaManager), including
offering input on database maintenance and efficiencies in system
workflows. Communicates with ConsortiaManager to submit system bugs, report
requests, and development ideas.
2.
Contributes actively to the organization through feedback and
suggestions regarding the workflow, procedures, and systems used at SCELC.
Documents and shares procedures, helping to develop a SCELC-wide procedure
manual.
Additional responsibilities to establish and maintain SCELC outreach
activities to the broader information community:
1.
Contributes to the ConsortiaManager user community via coordinated
cross-training, assisting newcomer consortia users, and participating in
ConsortiaManager group meetings.
2.
Engages with the International Coalition of Library Consortia (ICOLC)
<https://icolc.net/> community and attends ICOLC meetings periodically.
3.
Supports SCELC efforts to improve and diversify its programs and
services, including service as a Liaison to at least one SCELC advisory
committee <https://www.scelc.org/about/committees> or working group to
support, coordinate, and communicate related committee efforts.
4.
In collaboration with SCELC and host institution staff, provides support
for SCELC events.
Job Requirements
1.
Ability to work with and understand data, in different formats, with
great accuracy and attention to detail.
2.
Knowledge of acquisitions, as well as general accounts receivable and
payable processes.
3.
Ability to work independently and organize one’s own activities without
close supervision.
4.
Ability to work collaboratively, following guidelines and instructions.
5.
Flexibility to perform other duties as assigned, as short- and long-term
needs arise.
6.
Ability to learn and apply various services such as ConsortiaManager,
Salesforce, Google programs, Slack, bill.com, and Microsoft suite.
Qualifications and Specifications
1.
Required: Proven organizational, interpersonal, and computer skills
2.
Required: Ability to communicate effectively in writing and verbally
3.
Required: Bachelor’s degree
4.
Preferred: ALA-accredited master’s degree
5.
Preferred: Experience with helpdesk or account management software
6.
Preferred: Experience with macros and automating workflows
SCELC’s current work environment is primarily remote, with 60-95% of
employee work performed virtual, with some flexibility at the employer’s
discretion. SCELC has a 40-hour work week. Employees accrue 20 days of
vacation per year and 12 days of sick leave.
Salary is in the range of $60,000 to $70,000 depending on experience.
SCELC’s current benefits package includes multiple options for individual
medical plans, with 100% coverage of employee premiums and 50% contribution
for dependent premiums.
Currently dental and vision plans are also provided, along with life
insurance and long-term disability insurance. SCELC contributes to the
retirement plan (403b) at 8% of an employee’s salary per annum.
