[Eril-l] Using SharePoint for an ERM

Greetings!

Our campus has had SharePoint for about ten years.   Since our ERM system, which we have had since 2004, doesn't do well in managing workflows, we have being using SharePoint to manage some e-resource workflows in recent years.  Here are a couple of examples:


*         New e-resource & maintenance workflow tracking, such as access activation, platform or publisher changes, cancellations, & discovery treatment.   This is accomplished by using SharePoint Lists.

o   Two of my colleagues did a presentation at ER&L in 2013 on this topic. There is a brief blog entry<https://wendycrobertson.com/2013/05/06/sharepoint-lists-workflow/> about it.



*         Journal & e-resource subscription request form to manage pre-acquisition workflow covering request submission, product evaluation, collection development review, and selection decision.

o   A short article, Using Technology to Facilitate Pre-Acquisition Workflows for Electronic Resources<http://docs.lib.purdue.edu/charleston/2016/techtrends/6/>, describes how it works.

>From my experience, SharePoint can be quite clunky to use, and there is a learning curve to tame depending on what functionalities are desired.  Getting IT help would be a good idea.

I've heard a lot of good things about CORAL as an open source ERM.  I think it's worth looking into.

HI - Duke IT provided Sharepoint for our entire campus a few years ago.  The library used it for several years to post and share documents.  The consensus is that it is rather clunky, and there are some things it won't do that other software does.

Duke Libraries now chooses to use a variety of software other than Sharepoint.  Trello is used to track e-resource workflows, and Basecamp is used for teamwork and their documents, or files are posted on Box, or Google Docs.

Terri,

We have just implemented SharePoint in our library as a replacement for our intranet.  While have not considered it for the ERMS yet, we are developing its use for a couple of ERM workflows that our current ERMS doesn't do well:

1)      usage statistics repository

2)      trial, quote, purchase, cancellation request forms


That said, starting out just on these few has spurred my thinking about the greater possibilities SharePoint might offer.  I'd be interested to be involved in further conversations that come from this thread.
